Who This Applies To

  • Business users who create accounts to manage scheduling, clients, and invoices.
  • Clients and invitees who book appointments with businesses that use Swell.

If you are booking an appointment with a business that uses Swell, that business is the controller of your data. We process your information on their behalf, and their privacy practices apply to how they use your data.

Information We Collect

  • Account information, such as name, email address, password, phone number, and time zone.
  • Scheduling and booking data, such as appointment times, services, notes, and intake responses.
  • Client information provided by businesses or clients, such as names, emails, and phone numbers.
  • Calendar data if you connect Google Calendar, such as event times, titles, and attendees needed to check availability and schedule meetings.
  • Payment information needed to process payments, handled by our payment processor (we do not store full card numbers).
  • Communications, such as emails we send and messages you send to support.
  • Usage data, such as IP address, browser type, and device identifiers, and cookies used to keep you signed in.

How We Use Information

  • Provide, maintain, and improve the Services.
  • Create and manage appointments, invoices, and reminders.
  • Check availability and create or update calendar events when you connect a calendar.
  • Process payments and deliver receipts or invoices.
  • Communicate with you about your account, bookings, and support requests.
  • Protect the security and integrity of the Services.

How We Share Information

We do not sell personal information. We share information only as needed to operate the Services, including:

  • Service providers who help us run the Services (hosting, email delivery, and similar infrastructure).
  • Google, if you connect Google Calendar, to read availability and create or update events.
  • Stripe, to process payments and handle related compliance requirements.
  • Wave, if you connect accounting services to sync invoices.
  • Legal or safety reasons if required by law or to protect our rights.

Google Calendar Data

If you connect Google Calendar, we request access only to the calendar data needed to check availability and schedule meetings. We store access and refresh tokens so we can keep your calendar in sync until you disconnect. You can revoke access at any time by disconnecting the calendar in your settings or through your Google account permissions.

Data Retention

We retain information for as long as your account is active or as needed to provide the Services. You can request deletion of your account and associated data by contacting us.

Your Choices

  • Update your account and profile information in your settings.
  • Disconnect third-party integrations at any time.
  • Request access, correction, or deletion of your personal information by contacting us.

Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure.
